AI My Task ("we", "us", "our") provides a WhatsApp-based service that converts photographs or PDFs of bills, receipts and statements into spreadsheets. This Privacy Policy explains what data we collect, why, how it is processed, how long it is kept, and how you can request deletion.
1. Information we collect
- Your WhatsApp number — used to identify your account and deliver results back to the correct chat.
- Uploaded images and PDFs — the bills, receipts, invoices and statements you send us for conversion.
- Generated spreadsheets — the Excel files we create from your uploads and send back to you.
- Message content and metadata — commands you send (e.g. "Convert"), timestamps, and delivery status, as provided to us by the WhatsApp Business Platform.
We do not ask for your name, email address, or any information beyond what is needed to operate the WhatsApp conversation and produce your spreadsheet.
2. Why we collect and process this data
- To extract line items, quantities, prices and totals from your documents.
- To validate arithmetic (e.g. quantity × price vs. line total) and flag rows that don't reconcile.
- To detect duplicate documents (by vendor, invoice number, date and amount).
- To build and update the spreadsheet we send back to you.
- To operate, secure, debug and improve the service.
3. How uploaded files are processed
When you send a photo or PDF, it is downloaded from WhatsApp's servers to our processing infrastructure, where an optical character recognition (OCR) and data-extraction pipeline reads the document, cross-checks totals, and writes matching rows into your spreadsheet. Files are processed automatically; a human does not manually view your documents except when needed to investigate a bug or a support request you raise.
4. Third-party AI and infrastructure providers
To extract data from your images and PDFs, we send them to third-party AI/OCR providers (for example, large language model or document-intelligence APIs) strictly for the purpose of processing that document on our behalf. These providers act as data processors under contract and are not permitted to use your content to train their own models or share it with anyone else. We also use cloud hosting and storage providers to run our service.
5. WhatsApp / Meta data handling
AI My Task operates on the WhatsApp Business Platform, which is provided by Meta. Messages you send us pass through Meta's infrastructure and are subject to WhatsApp's Business Messaging Policy and Meta's own privacy practices, in addition to this Policy. We only receive the message content, media, and metadata associated with your conversation with our WhatsApp Business number — we do not have access to your other WhatsApp chats, contacts, or personal profile information.
6. Data retention and deletion policy
Uploaded images/PDFs and the spreadsheets we generate from them are automatically deleted 30 days after upload. We do not keep your source documents or output files beyond this window.
Message logs and account identifiers (your WhatsApp number) may be retained for longer, solely for support, fraud-prevention and legal-compliance purposes, and are deleted or anonymised once no longer required for these purposes.
7. How to request deletion
You can request deletion of your data at any time by:
- Messaging "Delete my data" to our WhatsApp number, or
- Emailing us at vaibhav@aimytask.xyz from any address, quoting the WhatsApp number linked to your account.
We will delete your uploaded files, generated spreadsheets and associated message history within 30 days of a verified request, except where we are required to retain limited records for legal or regulatory reasons.
8. Security practices
- Data in transit is encrypted (HTTPS/TLS) between WhatsApp, our servers, and any third-party processors.
- Access to stored files and processing systems is restricted to authorised personnel and automated systems that need it to operate the service.
- We do not sell your data, and we do not use your documents to train AI models.
- We apply the retention and deletion practices described above to limit how long data is exposed to risk.

We may update this Privacy Policy from time to time. Material changes will be reflected on this page with an updated "Last updated" date.
